PRIVACY
Privacy Policy
This policy explains what personal information Brain9 collects from this website and related conversations, why we use it, who may process it for us, how long we keep it, and how to contact us about your rights.
Who this policy covers
This policy applies to visitors to the Brain9 website and people who contact us about Brain9. When Brain9 processes information inside a customer workspace or agent workflow, we usually do that on behalf of the customer under the relevant agreement with that customer.
You do not have to provide personal information to browse the site. If you choose not to provide contact details, we may not be able to respond to your request or discuss a Brain9 workflow with you.
Information we collect
We collect information in a few practical ways:
- Contact form details: first name, optional last name, work email, company, and the workflow description you submit.
- Communications: messages, replies, meeting notes, and any details you choose to share when you speak with us.
- Basic technical data: information automatically handled by the hosting and security services that deliver the site, such as IP address, request metadata, browser type, and logs needed to keep the site reliable and secure.
How we use it
We use personal information to:
- respond to inquiries and continue the conversation you started;
- understand whether Brain9 can help with the workflow you described;
- send a confirmation copy of your contact-form submission;
- operate, protect, debug, and improve the website; and
- comply with legal obligations and enforce our rights if needed.
We do not sell personal information. We do not use the website contact form to add you to a bulk mailing list unless you separately ask for that.
How information is shared
Contact-form submissions are sent by email to the Brain9 team and as a confirmation email to the address you provide. The site is hosted and protected by Cloudflare, which may process technical and email-delivery data for us as a service provider.
We may also share information with professional advisers, vendors that help us operate Brain9, or authorities where required by law. We require service providers to use personal information only for the services they provide to us.
Cookies and tracking
This website does not set advertising cookies and does not use third-party advertising trackers. If we add analytics later, we will keep them limited to site-performance and product-interest signals and update this policy where required.
Retention
We keep personal information only for as long as it is useful for the reason it was collected, including responding to you, managing the relationship, meeting legal or accounting obligations, resolving disputes, and maintaining security records. When we no longer need it, we delete, anonymize, or archive it according to our operational needs and legal obligations.
Security
We use reasonable technical and organizational measures to protect personal information, including relying on reputable infrastructure providers, limiting access to people who need it, and using hosted systems designed for secure transmission and storage. No internet service is perfectly secure, so please avoid sending sensitive information through the contact form unless it is necessary.
International processing
Brain9 may use infrastructure and service providers in more than one country. Where privacy laws require transfer safeguards, we rely on appropriate contractual, technical, and organizational protections.
Your choices and rights
Depending on where you live, you may have rights to access, correct, delete, restrict, or receive a copy of your personal information, object to certain uses, or withdraw consent where processing is based on consent. We may need to verify your identity before fulfilling a request.
To make a privacy request, email info@brain9.ai.
Children
Brain9 is not directed to children, and we do not knowingly collect personal information from children through this website.
